Reservations
Process:
You
must be 21 years old or older and
posess a valid major credit card to
reserve one of our cabins/chalets.
Upon
making your reservation, a deposit
will be taken, billed to your credit
card, to secure your reservation, no
exceptions. Once your deposit is taken,
we will "block out" the dates you have
requested so that they will no longer
be available for rent by other parties.
After
receipt of your deposit, you will
be sent a confirmation which you will
sign and fax or mail or email back
to our office. You must
sign you confirmation/rental agreement
and return it to our office within
7 days to "lock in" your reservation.
If we do not receive your confirmation/rental
agreement within 7 days, and if we
cannot get in touch with you, we will
cancel your reservation, and your cancelled
reservation will be governed by our
cancellation policies outlined below.
When
we have received your signed confirmation/rental
agreement, your reservation is "locked
in".
It is important to get your signed
rental agreement returned to
us within 7 days.
If
you will be paying your balance by
check, the payment is required
to be received in our office
30 days prior to your arrival
date.
If
you will be paying your balance with
credit card or money order, your balance
is required to be settled 5 days prior
to your arrival, unless other arrangements
have been made.
Check-In
and Check-Out:
Check-in
is at 3pm.
Please do not attempt to check-in
earlier than 3pm unless prior arrangements
have been made with our rental office.
Please
notify us when you have arrived at
the cabin. If you need to check-in
after 8pm, please notify our rental
office and we will prepare a late-arrival
package for you. This package will
include directions and a key code
to your cabin. Late check-ins must
call the office by 10:00
am the following
morning to notify us of your arrival. If
you notice any damage to
the cabin or if anything is not functioning,
either at check-in or during your
stay, it is important that you report
it immediately to our office. Check-out
is at 10am.
Cancellations
and Changes:
We
will issue a full refund of your deposit,
minus your non-refundable reservation
fee (currently $50.00), for reservations
cancelled 30 days prior to your arrival
date (60 days for 4 bedroom or larger
cabins). Deposits and fees for reservations
cancelled less than 30 days prior to
your arrival date (60 days for 4 bedroom
or larger cabins) are non-refundable,
but may be applied to a future reservation
within the next 1 year without penalty.
Refunds are not provided for nights
removed less than 30 days prior to
guest arrival (60 days for 4 bedroom
or larger cabins). Only the guest
named on the rental agreement may
cancel or make changes to a reservation.
Damages
and Excessive Cleaning:
Upon your departure, your chalet/cabin
_____________________ will be checked
for damages or the need for excessive
cleaning. Charges
could exceed the security deposit. Please
note that hot tub covers are fragile
and have a replacement cost of $350.
Our cabins do not allow smoking or pets
unless specifically noted. Any
damages, additional cleaning charges
or loss of keys incurred during your
stay will be billed to your __________credit
card # ________________________________. Expiration
date ______________. You
agree to accept any such charges
________________________________.
Hot
Tubs:
Hot
tubs are drained, cleaned, refilled,
and chemically sanitized prior to
each guest arrival. Because the hot
tubs are completely drained and refilled
prior to each guest stay, the water
may not be warm until the evening
of your arrival. There are health
risks associated with the use of
hot tubs. Please use with discretion
and at your sole responsibility.
Maintenance:
Aardvark
Cabin Rentals performs
regular maintenance on all cabins
and makes every effort to keep all
amenities in good working order.
As in any home, appliances, hot tubs,
A/C and heating units, satellite
TV, fireplaces, etc. may malfunction
on occasion and while we cannot offer
refunds or discounts for such malfunctions,
we will make every effort to correct
any deficiencies as soon as possible
during regular business hours. Please
report all maintenance issues immediately.
Housekeeping:
Housekeepers
clean each cabin thoroughly prior
to guest arrival. We do not currently
offer daily maid service. A starter
set of linens, towels, soap supplies,
toilet paper, and paper towels is
provided for each guest. Upon arrival,
please report any damage or housekeeping
issues.
Lost
or Stolen Items:
Aardvark
Cabin Rentals is
not responsible for lost or stolen
items. Guest items which are found
will be returned to the rental office.
Items can be returned at the guests
expense.
Weather:
During
winter months, four-wheel drive or
chain-equipped vehicles should be
considered. While we will assist
you in any way we can, we do not
offer discounts or refunds if you
are unable to arrive to your unit
because of weather conditions.
Right of Refusal:
We
reserve the right to refuse service
to anyone for any reason. |
